This Privacy Policy explains how Cadence Vivo, a service line of Cadence Flow ("we," "us," or "our"), collects, uses, shares, and protects your personal information when you visit cadencevivo.com (the "Site"), book a free audit, communicate with us, or use our services. By using the Site or services, you agree to the practices described here.
Short version: We collect what we need to provide the service. We don't sell your personal information. We use trusted third-party tools (GoHighLevel, Meta, Google, Anthropic) to deliver the service, and they handle data under their own privacy policies. You can request access, deletion, or correction at any time by emailing [email protected].

We collect the following categories of personal information:
Sources of information: Directly from you (forms, chat widget, calls, emails), automatically through cookies and tracking technologies, and from third-party platforms you connect to our services (Google Business Profile, your CRM, etc.).
3. How We Use Your Information
We use personal information to:
- Provide the services described in your agreement (review automation, AI assistants, lead pipelines, etc.)
- Schedule and conduct the free visibility audit
- Send service updates, appointment reminders, and account communications
- Process payments and manage billing
- Respond to inquiries and provide customer support
- Send marketing or promotional messages (only with your explicit consent)
- Improve our services, automations, and AI models (using anonymized, aggregated data only)
- Detect, prevent, and address fraud, security issues, and policy violations
- Comply with legal obligations
4. How We Share Your Information
We do not sell your personal information. We share information only with the following categories of third parties:
Service providers we use to operate the business
- GoHighLevel (LeadConnector): CRM, chat widget, conversations, SMS/email infrastructure, workflows
- Twilio: SMS and voice messaging carrier
- Anthropic (Claude) and/or OpenAI: AI processing for chat, voice agents, and review responder
- Google: Google Workspace (email), Google Calendar (booking), Google Meet (calls), Google Business Profile API
- Meta (Facebook/Instagram): Advertising and analytics (Meta Pixel)
- Yelp, Houzz, Facebook: Review platform integrations (where applicable to your tier)
- Stripe or similar: Payment processing
- n8n, Zapier: Workflow automation infrastructure
Each of these providers operates under their own privacy policies and data processing agreements. We do not transfer more data than necessary to deliver the service.
Other circumstances
- Legal compliance: When required by law, subpoena, court order, or government request
- Business transfers: In connection with a merger, acquisition, or sale of business assets, your information may be transferred to the acquiring entity
- With your consent: When you specifically authorize sharing
5. SMS and Messaging Data
This section describes how we handle data related to our SMS messaging program in compliance with the Telephone Consumer Protection Act (TCPA), the CTIA messaging principles, and the A2P 10DLC carrier framework.
5.1 Data We Collect for SMS
When you opt in to receive SMS messages from Cadence Vivo, we collect and retain:
- Mobile phone number as entered on our intake form at cadencevivo.com/free_audit
- First and last name associated with the phone number
- Opt-in proof including the exact timestamp of consent, the IP address from which the form was submitted, the specific consent language displayed at the time, and the URL of the form where consent was given
- Opt-in category (marketing, non-marketing, or both) based on which checkbox(es) you selected
- Message history including delivery status, opt-out requests, and any replies you send to our messages
How we collect this data: Consumers opt in to SMS exclusively through dedicated, optional checkboxes on our website intake form at cadencevivo.com/free_audit. Both SMS opt-in checkboxes are unchecked by default, separate from any service agreement, and not required to use our service. SMS consent is not a condition of purchasing or using any Cadence Vivo service.
5.2 How We Use SMS Data
If you opt in to non-marketing (transactional) SMS, we use your phone number to send:
- Confirmation of your free audit booking
- Appointment reminders for your Google Meet
- Follow-up messages related to the audit or services you've requested
- Account and service-related notifications (e.g., billing reminders, service updates)
If you opt in to marketing SMS, we use your phone number to send:
- Promotional offers and discounts
- New service announcements
- Updates about Cadence Vivo features, events, or relevant industry news
Message frequency varies based on the category you opted into and your activity with us. Message and data rates may apply per your mobile carrier plan.
5.3 Third-Party Sharing for SMS
To deliver SMS messages, we share the minimum necessary data with:
- Twilio — our SMS gateway provider. Twilio processes message content, recipient phone numbers, and delivery metadata solely to transmit messages. Twilio operates under its own privacy policy and is contractually obligated to use this data only to deliver our messages.
- GoHighLevel (LeadConnector) — our CRM platform, which stores opt-in records, message history, and contact data on our behalf.
- Mobile carriers (Verizon, AT&T, T-Mobile, etc.) — receive routing and delivery metadata required to transmit messages to the recipient's device, in accordance with the A2P 10DLC framework.
We do not sell, rent, lease, or share your phone number, SMS opt-in data, or message content with any third party for their own marketing or advertising purposes. SMS opt-in data is used only to deliver messages you have consented to receive.
5.4 Opt-Out and Help
- To opt out: Reply STOP to any SMS message from Cadence Vivo. You will be unsubscribed immediately and will receive one final confirmation message.
- To get help: Reply HELP to any SMS message, or email [email protected].
- To opt out of one category but stay in another (e.g., stop marketing but keep transactional), email us at [email protected] and we will update your preferences within 1 business day.
- Opting out of SMS does not affect your ability to use our services or remain a Cadence Vivo client.
5.5 Retention of SMS Data
We retain SMS opt-in records (consent timestamp, IP, consent language, form URL) for the duration of the opt-in plus 4 additional years to comply with TCPA recordkeeping requirements. Phone numbers and message history are retained for the duration of your active relationship with us plus 7 years for tax and compliance purposes. You may request earlier deletion by emailing us, subject to the legal retention requirements above.
5.6 Carrier Liability
Carriers are not responsible for delayed or undelivered messages. Cadence Vivo is not liable for messages that fail to deliver due to carrier outages, recipient device issues, full inboxes, or any other carrier-side condition outside our control.
6. AI Services and Data
When you interact with our AI assistants (chat AI, voice agent, AI review responder, etc.), your conversation may be processed by third-party AI providers (currently Anthropic and/or OpenAI). These providers process data under their own terms and privacy policies and do not use your conversations to train their public-facing models unless you have separately opted in to such use.
Conversation transcripts are stored in our CRM (GoHighLevel) for service delivery, quality assurance, and compliance. You may request deletion of specific conversations at any time.
7. Cookies and Tracking Technologies
We use cookies, pixels, and similar technologies to operate the Site and measure performance. Specifically:
- Meta Pixel: Tracks page views and conversions for Meta (Facebook/Instagram) advertising. Allows us to retarget visitors and measure ad effectiveness.
- GoHighLevel cookies: Power the chat widget, attribution, and analytics.
- Google Analytics (if active): Site usage analytics.
You can opt out of most tracking by adjusting your browser settings or by using opt-out tools provided by the relevant platforms. Note that disabling cookies may impair Site functionality.
8. California Privacy Rights (CCPA / CPRA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act and California Privacy Rights Act:
- Right to Know: Request the categories of personal information we have collected, used, disclosed, and the sources of that information.
- Right to Access: Request a copy of the specific pieces of personal information we have about you.
- Right to Delete: Request deletion of your personal information, subject to certain exceptions (e.g., we may retain information required for billing, compliance, or fraud prevention).
- Right to Correct: Request correction of inaccurate personal information.
- Right to Opt Out of Sale or Sharing: We do not sell your personal information. We do not share personal information for cross-context behavioral advertising beyond the Meta Pixel functionality described above. You can disable the Meta Pixel by opting out through your browser or Meta account.
- Right to Limit Use of Sensitive Personal Information: We do not use sensitive personal information for purposes that would trigger this right.
- Right to Non-Discrimination: We will not deny services, charge different prices, or provide a different level of service because you exercised your privacy rights.

9. Data Security
We take reasonable measures to protect your information from unauthorized access, disclosure, alteration, and destruction. This includes encryption in transit (HTTPS), access controls, and vendor security review. However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.
10. Data Retention
We retain personal information for as long as necessary to provide the services, comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:
- Active client data: retained for the duration of the service agreement plus 7 years for tax and compliance purposes
- Prospect data (no purchase): retained for up to 2 years, then deleted unless you opt back in
- SMS opt-in records: retained for as long as required by TCPA and A2P compliance, typically the duration of the opt-in plus 4 years
- Conversation transcripts: retained for 7 years for service quality and compliance review
11. Children's Privacy
Our services are intended for businesses and adult users only. You must be at least 18 years old to use our Services or to provide information through any of our forms or chat tools. We do not knowingly collect personal information from individuals under the age of 18. If we discover that we have collected information from someone under 18, we will delete it promptly.
12. International Transfers
Cadence Vivo is based in the United States. If you access our services from outside the United States, your information may be transferred to, stored in, and processed in the United States and other countries where our service providers operate. By using our services, you consent to this transfer.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or by notice on cadencevivo.com at least 14 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision.
14. Client Responsibility for Customer Data
Cadence Vivo clients may upload, import, or transmit their own customer contact information (including names, phone numbers, and email addresses) to our platform for the purpose of running review request campaigns, missed-call text-back automation, past customer reactivation campaigns, and other service deliverables documented in their service agreement.
By uploading customer contact information to our platform, you (the client) represent and warrant that:
- You have obtained all required permissions, consents, and legal authority under applicable laws (including the Telephone Consumer Protection Act, CAN-SPAM Act, CCPA/CPRA, and the A2P 10DLC framework) to contact those individuals via SMS, email, voice, or other electronic communications.
- You collected those contacts through lawful means and not through purchased, rented, scraped, or affiliate lead lists.
- You have a prior business relationship with each contact being uploaded.
- You will honor opt-out and unsubscribe requests from your customers promptly and will not re-upload contacts who have opted out.
- You have provided your customers with a privacy notice that discloses you may share their information with service providers like Cadence Vivo for the purpose of operational communications.
Cadence Vivo does not independently verify how client customer data was obtained and relies on the representations and warranties above. Clients are solely responsible for ensuring their customer data was collected and is being used in compliance with applicable laws. Clients agree to indemnify and hold harmless Cadence Vivo from any claims, fines, penalties, or expenses arising from a violation of these representations.
15. Third-Party Platforms and Review Visibility
Our services integrate with and rely on third-party platforms including Google Business Profile, Yelp, Houzz, Facebook, Instagram, and others (collectively, "Review Platforms"). These platforms operate independently of Cadence Vivo and retain full discretion to display, hide, filter, modify, or remove reviews and content under their own policies, algorithms, and terms of service.
Cadence Vivo cannot guarantee:
- The visibility, ranking, or permanence of any review on any Review Platform
- That Review Platforms will display every review submitted by a customer
- That a customer's review will not be flagged, filtered, removed, or hidden by a platform's algorithms or moderators
- Specific Google Map Pack rankings, search positions, or local search visibility outcomes
- Continued availability or functionality of any third-party platform's API or integration
Review Platforms may change their policies, algorithms, APIs, or terms of service at any time, which may affect the performance of our Services. We will adapt our systems where reasonably possible, but we are not responsible for outcomes caused by third-party platform changes outside our control.
16. Case Studies and Marketing Use
We may use certain non-confidential, business-related information about our clients to create case studies, testimonials, or marketing materials promoting our Services. This may include:
- Client business name and logo
- Publicly available reviews and ratings from the client's Google Business Profile or other public review platforms
- Direct testimonials voluntarily provided by the client
- High-level performance results (for example, "increased review volume by 4x in 90 days" or "moved from page 3 to Map Pack top 3 in 60 days")
- Industry or vertical descriptors (for example, "auto repair shop in Downey, CA")
We will not disclose confidential business information, customer lists, revenue figures, or other sensitive details without the client's explicit written permission.
If you prefer not to have your business included in our marketing materials, you may opt out at any time by emailing [email protected] with the subject line "Marketing Opt-Out." We will remove your business from active marketing materials within 30 days of receiving the request.
